Reading receipts with AI means: invoices, delivery notes and orders are automatically recognised, captured and transferred into your bookkeeping or merchandise management, regardless of the layout of the respective sender. Automatic reading of documents, in technical jargon "document processing" or OCR with AI, is one of the automations that pays off fastest for small businesses. The effort is manageable, the benefit immediately noticeable. Here is a realistic overview of what works today and what does not.
What works well when reading receipts with AI
Incoming invoices, delivery notes, orders and forms can be captured reliably: sender, date, invoice number, items, amounts, tax rates. The AI recognises the fields even if every supplier uses a different layout, that is the decisive difference from classic, rigidly configured OCR solutions. The extracted data then moves automatically into your bookkeeping, merchandise management or a file store with sensible naming.
Where a person still takes a look
Reliable automation does not mean "runs completely without control". A threshold makes sense: if the AI is sure about a receipt, it is booked directly. If there are uncertainties, for example a badly scanned page or an unusual amount, the receipt lands with you for a quick check. That keeps the effort small without errors slipping through unnoticed.
What you need for this
Less than many think. The receipts can arrive as a PDF in the mailbox, as a scan from the multifunction device or as a photo from a smartphone. A particular software is not a prerequisite, what matters is that in the end there is a system the data can be handed to. We clarify that before implementation.
Data protection: the most important question first
Receipts often carry personal data. That is why we clarify in advance which data leaves the business and where to. Where possible we rely on processing in Germany or the EU or on locally operated models. On request we record this in a data processing agreement.
E-invoicing: why the topic now comes in
Since 1 January 2025 companies in Germany must be able to receive structured e-invoices in the B2B sector. The obligation to issue them applies in stages from 2027 (annual turnover above 800,000 euros in the previous year) or from 2028 for all others. A pure PDF invoice does not count as an e-invoice. That does not replace reading: paper, PDF and photo receipts from suppliers, petrol stations or tradespeople will remain everyday for a long time. Authoritative are the requirements of the Federal Ministry of Finance, if in doubt clarify details with your tax adviser.
Where to start
Best with a clearly delimited receipt type, for example incoming invoices. It is automated cleanly, tested in live operation and only then supplemented with further document types. That way you see early whether the effort is worthwhile before larger steps are taken.
